When we launched our mobile bar business in 2019, I knew how important it was vital to get software and systems in place. Organization for sales, marketing and operations allows you to grow business faster. I spent years in software, tech and marketing agencies. It’s overwhelming how much information is out there. What software is necessary to have? What is built for mobile bar businesses? What is the best software for mobile bar businesses?
The biggest thing I learned is that sales is king. Put systems in place that generate more leads and convert them into customers. When you take care of sales, you can pay to make other problems go away. We put systems in place that helped us get out of the red quickly and booking $3000-$4000 events with our mobile bar business. It’s also important for overall organization for client delivery, scheduling and tracking payments. Overall, we want to make more money and spend less time doing it.
Here are the top software systems for your mobile bar:
1. Wheelo (All-In-One Software)
We’re biased, but Wheelo was the sole reason our mobile bar business doubled revenue in 4 months. Sales tools that include texting automation & artificial intelligence is what really made business move. It also puts all of your tools in one place including managing contacts, taking payments, planing social media posts, marketing and reputation management. Wheelo ends the debate and puts all your tools in one efficient place built specifically for mobile bar businesses.

2. HoneyBook (CRM, Business Operations)
HoneyBook is a popular system for a number of small businesses, including Mobile Bar Businesses. The user interface is very easy to grasp and gives your business the basics needed to run. It comes complete with a CRM, email automation and contract templates. You can easily integrate your other tools and forms into the program and have them work together. It does not include website design, hosting, texting tools.

3. Dubsado (CRM, Client Portal, Payments)
Dubsado does provide more of the same from Honeybook but plenty of mobile bartending businesses actually pair them together. We’ve seen a good amount of mobile bars use Dubsado primarily for the client portal feature as well as the proposal tools. Pricing starts $20/month for invoicing, project tools and forms. It’s $40/mo for the rest of the system.

I do, yes. Can reach out to team@mobilebarhub.com
A little about my new business, I have a horse trailer converted to a mobile bar that has 4 kegs taps, an undercounter ice bin, single sink, and a mini fridge. I also provide basic bar tools and decorations. My business model is that I do not provide bartending services but provide the equipment necessary for the client to secure whatever they need to, therefore, I’ve given the client full reign of acquiring their own bartender along with purchasing their own alcohol of course. In essence, I provide the equipment, while the client does the rest. I’m located in Central Valley CA and am looking for websites to advertise at. Since I’m new to this industry, i’m really trying to keep costs down. I do have a FB and IG account, but I really don’t want to be posting something on those sites daily. I’d prefer to post where mobile bartending services are needed. Do you have any suggestions? I’m also looking to find what would be a good price point. I’m finding that even margarita machines rentals go for about $320 a day. My horse trailer definitely has more to offer. Any advice on this?
You should first create your Google Business profile and verify the business. There are people that are searching for your rentals and services online and that is the first place you should start. The next step if you are not looking to post on social media often is to run an ad on those platforms like Facebook or Instagram.
